This "Data Gap" is one of the most common stressors for event officers, but it is also one you can solve with a few strategic moves this month.
There is a way out by attacking issues of data integrity in January.
Your goal isn't to be a data scientist as much as a bridge-builder. That’s not your jam and besides this you have limited time and la small team. The masterful move is to facilitate and simplify the reconciliation process of the data early, often, and long before the "Spring Rush" makes data cleanup a true mess and an insurmountable stress.
If you begin these steps now, you can ensure every student who has earned their moment in the sun actually gets it. Better still, you’ll have fewer nightmares.
So here’s your January "Data Success" action plan.
1. The "Master Sync" Session
Schedule a 30-minute meeting with the Registrar’s office this week. Compare your current RSVP list against the official list of candidates. Identify the "Missing in Action" students — those who are eligible but haven’t RSVP’d. Plan to send targeted reminders to them now while there is still time for them to respond.
2. Standardize the "Name Field"
Data gaps often happen because of formatting. Ensure your RSVP system and the Registrar’s data use the same fields (e.g., Legal Name vs. Diploma Name).
Catch Formatting Issues Early
Catching a missing middle initial or a special character in January prevents a high-stress re-print of the commencement program in April.
3. Close the Loop on "Late Adds"
Establish a clear, written protocol for how "late-application" students will be added to your event database. Having a set workflow now prevents the "ad-hoc" emails that lead to students being skipped on stage.
